Project Coordinator, Equipment Planning
The Project Coordinator supports the planning, procurement, and installation of medical equipment for healthcare construction and renovation projects across the United States. Working alongside Project Managers, the Project Coordinator collaborates with hospital stakeholders, architects, contractors, and equipment vendors throughout the project lifecycle and performs a variety of project and administrative tasks. This is an ideal role for a detail-oriented professional looking to grow in the medical equipment planning field.
Essential Duties and Responsibilities
Responsibilities include but are not limited to the following:
- Assist Project Managers in preparing for and facilitating medical equipment user group meetings with clinical staff, design teams, and facility stakeholders
- Perform value analysis to compare medical equipment systems across manufacturers, evaluating clinical function, total cost of ownership, and infrastructure requirements
- Develop and maintain medical equipment lists and budgets, tracking revisions from programming and design through procurement and activation
- Prepare and distribute meeting minutes, action items, and project tracking documentation
- Prepare and assemble medical equipment specifications
- Gather and organize site-specific vendor drawings detailing rough-in requirements for power, data, plumbing, medical gas, and structural support
- Keep project records current, including document versions, revision notes, and status updates throughout the project lifecycle
- Place medical equipment families in Revit models to coordinate equipment placement, clearances, and infrastructure requirements with the design team
- Obtain final vendor quotes and prepare purchase orders and procurement documentation
- Coordinate the delivery, receiving, staging, and installation of medical equipment with vendors, contractors, and facility staff to align with construction and activation milestones
- Track equipment delivery and installation schedules, and communicate status and risks to the project team
- Travel to client sites to support equipment deliveries and provide on-site supervision of installation activities
Qualifications
Education & Experience
Bachelor’s degree (B.S.) or equivalent in business or a related field. A minimum of one to three years in the healthcare industry. Knowledge of hospital department functions and an understanding of the architectural design and construction process.
Basic Qualifications
The following are required for this role:
- Highly comfortable working with computers and quick to learn new software, with proficiency across the Microsoft Office suite, including Excel
- Strong organizational, written, and verbal communication skills, with the ability to manage multiple projects and deadlines simultaneously
- Self-directed and curious, with a willingness to learn healthcare technology trends and travel to project sites nationwide
Preferred Qualifications
The following qualifications are preferred but not required. We encourage candidates who meet many, though not all, of these to apply:
- Prior experience in medical equipment planning, healthcare construction, clinical operations, hospital supply chain, or a biomedical/medical device role
- Familiarity with the healthcare design and construction process, from programming and schematic design through construction documents and facility activation
- Hands-on experience working in Bluebeam and Revit (including placing and editing families), with the ability to read and interpret architectural drawings
- Comfortable adopting AI and emerging technologies to work more efficiently, paired with the judgment to apply them appropriately in a field where clinical and technical accuracy is essential
Compensation and Benefits
- Base salary: $70,000–$90,000 per year, commensurate with experience. This position is also bonus eligible.

Additional Information
Work Location and Travel
This is a fully remote position; employees must be based in the United States. Travel to client sites varies by project phase and averages approximately 25%, with the heaviest travel during equipment delivery and installation.
